Position Overview
This role will provide proactive, high-level support to senior executives at our fast-paced SaaS, private-equity owned company. This role is critical in enabling executive productivity, managing operational logistics, and ensuring seamless communication across teams.
This position partners closely with leaders, external partners, and stakeholders across the business to ensure our executive team is enabled to focus on strategic priorities while managing the details behind the scenes.
Please note that this position is primarily remote with minimal requirements for in-office responsibilities. Individuals should be based in the Greater Boston area/southern New Hampshire.
Job Responsibilities
Executive Support
Provide day-to-day administrative support to one or more C-level leaders, including high volume complex calendar management across multiple time zones
Coordinate significant and dynamic US and national international travel logistics, including booking, agendas, briefings and expense submission / reconciliation
Prepare and consolidate materials for internal and external meetings, including decks, reports, and talking points
Serve as a trusted liaison, ensuring clear, timely, and professional communication on behalf of executives
Manage sensitive information with discretion and maintain a high degree of confidentiality at all times
Administrative Operations
Act as a central point of contact for assigned executives, ensuring consistent, accurate and proactive communication and fast responses
Utilize systems and tools, including AI, to maximize efficiency and productivity of self, the team, and executives
Provide support for internal and external meetings, including logistics, agendas and follow-ups
Support executive office purchasing requests, including POs and Virtual Credit Cards
Handle incoming and outgoing correspondence such as opening and distributing mail and handling deliveries
Liaise with office management and vendors to ensure operational excellence in a hybrid work environment
Support key internal events and initiatives, including leadership offsites and local town halls
Cross-Functional Coordination
Work closely with internal Executive Assistants and the Executive Office to ensure alignment and seamless support across leadership
Partner with HR, IT, and Facilities for onboarding, office logistics, and team resource needs
Serve as a point of contact exhibiting a customer service attitude and approach for internal stakeholders, customers, board members, and external partners
Help foster a high-performance culture through organized workflows, proactive problem solving, and quick/thoughtful follow-ups

Qualifications
3-5+ years of experience in an executive or senior administrative support role, preferably supporting C-suite executives
Experience at a tech company, investment bank, private equity or private equity owned setting is a plus
Proven ability to operate with a high level of discretion, professionalism, and judgment
Exceptional organizational, project management, and time management skills in a fast paced, dynamic environment
Ability to adapt quickly to changing priorities and manage multiple demands under pressure
Strong written and verbal communication abilities
Proficient in Microsoft Office Suite and tools such as Teams, Concur, and calendar/expense systems
Strong interpersonal skills and a proactive, can-do attitude
