Description We are looking for an experienced Executive Assistant to provide comprehensive support to senior executives in a dynamic and fast-paced environment. This role demands exceptional organizational skills, attention to detail, and the ability to handle sensitive information with the utmost discretion. The ideal candidate will excel at managing schedules, coordinating meetings, and ensuring seamless travel arrangements, while also maintaining professionalism and confidentiality.
Responsibilities:
• Manage complex executive calendars, including scheduling internal and external meetings and resolving conflicts efficiently.
• Anticipate executive needs and prioritize tasks to optimize time management and meet deadlines effectively.
• Facilitate communication between executives, internal teams, and clients, ensuring clear and timely correspondence.
• Collaborate with other Executive Assistants to share best practices, enhance team efficiency, and provide backup support as needed.
• Prepare and proofread meeting materials, reports, presentations, and correspondence to ensure accuracy and professionalism.
• Attend meetings with executives when required, take detailed notes, and follow up on action items promptly.
• Organize events, dinners, and client meetings, including researching venues and coordinating with vendors.
• Arrange domestic and international travel plans, including contingency planning to address potential changes.
• Handle expense reporting processes, ensuring timely and accurate submission.
• Execute special projects, managing multiple priorities simultaneously and ensuring deadlines are met. Requirements • High school diploma or equivalent; a college degree is preferred.
• Minimum of 7 years of experience as an Executive Assistant supporting senior-level executives, with 10+ years in similar roles.
• Proficiency in Microsoft Office Suite and familiarity with project management tools.
• Strong organizational and prioritization skills, with the ability to manage high volumes of meetings and scheduling requests.
• Excellent written and verbal communication skills, including grammar and precise writing techniques.
• Proven ability to maintain confidentiality and discretion in handling sensitive information.
• Flexibility and adaptability to thrive in a client-focused, fast-paced environment.
• Current notary public certification or willingness to become certified.
