Executive Assistant
Description We are looking for a highly organized and tech-savvy Executive Assistant to support the President of a non-profit organization based in Richmond, Virginia. This Contract position requires a self-starter who can quickly adapt to a dynamic environment without formal training, while efficiently managing multiple priorities. The ideal candidate will possess strong communication skills and a proven ability to handle complex scheduling, presentations, and correspondence. Responsibilities: • Provide comprehensive administrative support to the President, including managing schedules, correspondence, and travel arrangements. • Coordinate and facilitate virtual meetings using platforms such as Teams, Zoom, and Cisco Webex. • Prepare detailed presentations and reports using Microsoft PowerPoint and Excel. • Maintain and organize calendars to ensure seamless scheduling of meetings and events. • Handle booking of travel arrangements and accommodations, ensuring all logistics are managed effectively. • Utilize various systems such as ADP, Concur, and Kronos to support financial and timekeeping tasks. • Collaborate with C-suite executives to ensure smooth communication and alignment on priorities. • Manage CRM systems to maintain accurate records and support organizational operations. • Adapt quickly to changing priorities and provide solutions with minimal direction or supervision. • Ensure confidentiality in handling sensitive information and maintain professionalism in all interactions. Requirements • Proven experience as an Executive Assistant, preferably supporting C-suite executives. • Proficiency in Microsoft Suite applications, including Excel, PowerPoint, and Teams. • Skilled in using virtual meeting platforms such as Zoom and Cisco Webex. • Familiarity with systems like ADP, Concur, Kronos, and CRM software. • Strong organizational skills with the ability to multitask and prioritize effectively. • Excellent communication abilities, both written and verbal. • Demonstrated ability to work independently with minimal supervision. • Experience in managing calendars, travel arrangements, and correspondence.
