Executive Assistant
Description We are looking for a skilled and proactive Executive Assistant to support the President and Vice President. This role requires exceptional organizational abilities, attention to detail, and the capacity to handle confidential information with professionalism. The ideal candidate will thrive in a fast-paced environment, balancing multiple priorities while ensuring seamless day-to-day operations for senior leadership. Responsibilities: • Manage and coordinate complex calendars for two senior executives, including scheduling meetings, appointments, and travel arrangements. • Organize and oversee domestic and international travel logistics, including itineraries, accommodations, and transportation. • Prepare materials, agendas, and logistics for meetings and presentations, while ensuring follow-up actions are completed. • Provide administrative support for cross-functional projects led by the President and Vice President, ensuring timely execution of tasks. • Maintain and organize both digital and physical documentation, including contracts and operational files. • Perform light office management duties, such as maintaining supplies and facilitating facility needs for meetings. • Handle sensitive business and personnel information with a high level of discretion and confidentiality. • Assist with expense reporting and ensure accurate record-keeping for executive expenditures. • Serve as a central point of communication to streamline interactions between executives and internal or external stakeholders. Requirements • Minimum of 5 years of experience as an executive or administrative assistant. • Demonstrated ability to manage competing priorities and support multiple leaders effectively. • Strong organizational and multitasking skills with exceptional attention to detail. • Excellent verbal and written communication skills. • High level of integrity and discretion when handling confidential information. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and general business software. • Ability to work onsite in a dynamic and fast-paced environment.
