Executive Assistant
**CTG is seeking to fill an Executive Assistant opening for our client in New York, NY.** **Location:** New York, NY **Duration:** Contract to Hire **Duties:** + Provide administrative support to the Executive Team (4–6 executives), including calendar management, expense reporting, meeting coordination, and travel arrangements. + Perform secretarial tasks such as appointment scheduling, file maintenance, and light personal errands. + Prepare signature pages and coordinate the execution of contracts. + Support the legal team with contract lifecycle management and corporate governance documentation. + Coordinate company travel logistics and group bookings for events. + Assist in organizing company events including meetings, retreats, and celebrations. + Act as point of contact for office operations: maintenance, mailing, supplies, pantry inventory, and vendor coordination. + Partner with HR on office policy implementation and compliance. + Oversee desk assignments and manage workspace bookings (“hot desk”). + Maintain the appearance and order of shared office spaces. + Coordinate with IT regarding office equipment needs and troubleshooting. + Greet and assist office visitors. + Answer phones and direct calls/messages as needed. + Perform other administrative duties as assigned. + Occasional travel may be required. **Skills:** + Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint). + Proficiency in Adobe and Adobe Sign. + Familiarity with tools such as Slack, Zoom, and Expensify or similar platforms. + Strong analytical, organizational, and problem-solving skills. + Exceptional verbal and written communication skills. + Ability to manage multiple priorities in a dynamic, fast-paced environment. + Entrepreneurial mindset with initiative to drive tasks from concept to completion. + General technical aptitude and comfort with learning new systems. **Experience:** + 4+ years of experience as an Executive Assistant supporting C-level executives. + Prior experience coordinating office operations and supporting legal or governance processes preferred. + Experience in clean energy or related industries a plus. **Education:** + Associate’s degree required. Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
