**Executive Associate/Executive Assistant** **Location:** Morristown, NJ (Hybrid – Minimum 3 days onsite) **Work Hours:** Monday - Friday, 8:00 AM - 5:00 PM **Pay Rate:** $ 46.94/hour **Job Type:** Temporary Are you a highly experienced and exceptionally organized administrative professional looking for a dynamic hybrid role? We are seeking a dedicated **Executive Associate/Executive Assistant** to provide comprehensive administrative support within our global learning department. In this role, you will be instrumental in ensuring the efficient operation of a fast-paced environment, directly supporting one manager and potentially up to two. **Key Responsibilities:** + **Calendar and Travel Management:** Expertly manage complex and changeable calendars, schedule meetings (including venues, videoconference, teleconferences, and eMeetings) across global time zones, and arrange domestic and international business travel (including agendas, registrations, and expense reconciliation). + **Administrative & Project Support:** Independently perform a variety of administrative, clerical, and general business activities. Provide computer and project support, including assisting with eAED's and eDE's for contractors, and compiling weekly/monthly accomplishments for senior management. + **Team Coordination:** Work closely with administrative counterparts to coordinate departmental activities, manage product assignment lists, and assist with new associate/contractor orientation. + **Meeting Management:** Responsible for scheduling, recording, and following up on action items from weekly meetings and upper management requests. + **Cross-Functional Collaboration:** Interact effectively with all levels of associates and management, both within and outside the department, including outside experts and their staffs. + **Compliance & Communication:** Coordinate all aspects of working with outside experts (Confidentiality Agreements, Contract Request Forms, invoicing, and payment). Provide excellent communication (oral/written) and proof-reading of finished tasks. + **Flexibility:** Provide backup administrative assistance to other team members as needed and participate in quarterly meetings, preparing presentations as required. **What You'll Bring:** **Must-Have Skills:** + **Minimum 10+ years of experience** in a related executive support or administrative role. + **High School Diploma** or equivalent. + **Advanced proficiency in Microsoft Office Suite** , particularly **Excel** (including pivots and data cleanup), **PowerPoint** (ability to create and edit presentations), and **Outlook Calendar Management** (for complex scheduling). + Experience with virtual meeting platforms like **Zoom** and **MS Teams** . + Proven experience managing travel arrangements (domestic and international) and processing **expense reports** . + Ability to work occasional early or after hours to accommodate global time zones. + Ability to travel to other work sites (Swiftwater and Cambridge) on a limited, infrequent basis. + **Open to candidates willing to relocate at their own expense.** **Nice-to-Have Skills:** + Bachelor's degree or higher. + Previous experience in the Pharmaceutical industry. + Familiarity with Concur or Workday. + Experience supporting a Learning department or with learning transformation projects. + Experience with MS Copilot. + Prior experience with project management, tracking, and approving Purchase Orders (POs). **Why Join Us?** This is an excellent opportunity to leverage your extensive administrative expertise in a global setting.
