Description
We are looking for an experienced Executive Assistant to provide high-level administrative support to senior executives in a fast-paced environment. This position is based in Itasca, Illinois, and requires superior organizational skills, attention to detail, and the ability to manage multiple priorities effectively. The role offers an exciting opportunity to work closely with leadership and contribute to the smooth functioning of operations.
Responsibilities:
• Manage executive calendars, coordinate schedules, and organize complex meetings with precision.
• Facilitate travel arrangements for executives, including booking flights, hotels, and handling visa and immigration documentation.
• Process expense reimbursements using Oracle systems in a timely and accurate manner - software experience preferred but can train. Expense reports experience is a must!
• Prioritize and oversee multiple projects simultaneously, ensuring deadlines are met.
• Prepare presentation materials and assist with related technologies to support executive needs.
• Review and summarize reports and documents, ensuring executives are well-informed and prepared.
• Organize and maintain department filing systems, including correspondence, memos, and reports.
• Sort and distribute incoming mail and faxes to the appropriate recipients.
• Handle invoice processing and outgoing mail as required.
• Perform additional administrative tasks and duties as assigned to support the team.
Requirements
• Associate or Bachelor's degree is preferred but not required.
• Proven experience supporting senior executives in a detail-oriented environment, preferably in a public company.
• Exceptional written and verbal communication skills, with strong negotiation and decision-making abilities.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Demonstrated ability to arrange domestic and international travel, including visas and supporting documentation.
• Experience creating presentations and managing conference calls.
• Strong attention to detail and the ability to interact effectively with senior executives and team members.
• Ability to adapt and thrive in a fast-paced, dynamic work environment.
