Description We are looking for a highly organized and proactive Executive Assistant to join our team in Irvine, California. This long-term contract position requires someone who can provide exceptional administrative support to the global management team while maintaining confidentiality and attention to detail. Responsibilities:
• Coordinate and manage calendars for executives, ensuring seamless scheduling of meetings and appointments.
• Arrange and oversee travel logistics, including booking accommodations and transportation for executive team members.
• Provide comprehensive administrative support by preparing documents, handling correspondence, and managing daily tasks with precision.
• Serve as a liaison between internal teams and external stakeholders, fostering clear and effective communication.
• Assist with high-impact projects for executives, ensuring all tasks are completed with discretion and efficiency.
• Collaborate with other administrative staff to enhance overall operations and achieve company objectives.
• Develop and refine visitor programs to ensure a positive experience for all guests.
• Gain an understanding of the operational needs of commercial and engineering teams to streamline administrative workflows.
• Maintain a high level of organization and attention to detail in all assigned responsibilities. Requirements • Minimum of 5 years of experience as an Executive Assistant or in a similar role.
• Proficiency in calendar management and scheduling for executive-level staff.
• Demonstrated expertise in arranging and coordinating travel plans.
• Strong skills in managing executive meetings and preparing related materials.
• Advanced knowledge of Microsoft Office applications, including Word, Excel, and PowerPoint.
• Excellent communication skills, both written and verbal, with a detail-oriented demeanor.
• Ability to handle sensitive information with confidentiality and discretion.
