Executive Assistant
Description + Manage the Executive Director’s calendar, scheduling meetings, events, and travel arrangements while ensuring optimal time management + Prepare meeting agendas, take detailed minutes, and distribute follow-up materials as necessary. + Draft, edit, and proofread correspondence, reports, and presentations for the ED. + Serve as the primary point of contact for the ED, managing inquiries and correspondence with professionalism and tact. + Coordinate communication and logistics with the Board of Directors, including scheduling board meetings, preparing board packets, and tracking action items. + Foster relationships with donors, community partners, and other stakeholders on behalf of the ED when needed. + Assist with special projects and initiatives led by the ED, including researching key topics, compiling data, and creating reports. + Maintain organizational files and records, ensuring confidentiality and security of information. + Support development and fundraising activities, such as donor events, grant management, and campaign coordination. + Plan and coordinate logistics for internal and external events, including staff retreats, fundraising events, and community meetings. + Manage domestic and international travel arrangements for the ED, creating detailed itineraries and handling travel-related reimbursements. + Act as a thought partner to the ED, anticipating needs and brainstorming solutions to challenges. + Provide backup support to other administrative staff as needed.
