Executive Assistant

The University of Pittsburgh's School of Public Health, Department of Infectious Diseases and Microbiology has a long and distinguished history as a leader in graduate education, transformative research, implementation science, and education in infectious diseases. Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.

Provides administrative assistance to the Department Chair and liaison with faculty, staff,and students. Manage and prioritize daily work assignments related to the administrative,academic, and research activities of the Department Chair. Organize day-to-day activities including maintaining the calendar, coordinating travel schedules, reconciling expense reports, scheduling and attending bi-monthly faculty meetings, taking and distributing minutes, and required meeting materials. Creativity and flexibility are highly preferred, as the department is in a stage of strategic growth with several key initiatives underway. The role involves supporting a variety of technical and administrative tasks aligned with the evolving priorities of the Department Chair.

Excellent technical, organizational, and communication skills with the ability to consistently meet deadlines. Must be professional, perform detailed work, understand priorities, able to work both independently and as part of a team utilizing decision making as appropriate, and remain focused when working under pressure. Ability to maintain confidentiality and a flexible approach to meeting the varied demands of faculty. Must be familiar with a wide variety of activities and functions in the department in order to provide support. Demonstrate knowledge of critical work issues. Knowledge of university policies and procedures. Must be able to interact effectively with a diverse faculty, students, and staff.
