Executive Assistant-Pilgrim’s

 

 

Purpose and Scope/General Summary: We are seeking an Executive Assistant for our Pilgrim’s Executive team, supporting the various executives within the business. This role will provide support to the CEO including calendaring, travel arrangements, and customer relationship management. Responsibilities:

Performs administrative support functions.  Drafts and processes correspondence.  Creates spreadsheets, charts, tables, etc.Answers and screens telephone calls.Assists with special projects on an ad hoc basis.General communication and coordination of orders/events for executives and their teams.Handle all administrative functions (calendar, appointments, event scheduling – on and offsite, conference call appointments, note-taking, etc.) and ensure logistics are seamless.Coordination with internal and external stakeholders, handling sensitive information with the utmost confidentiality. Customer relationship management; first point of contact for some customers and vendors.Manage domestic and international travel including flights, accommodations, itineraries, and expense reporting which may include handling last minute changes. Assist with new team member onboarding as necessary including desk and IT set up. Must be process oriented and have superb time management and customer service skills.Ability to prioritize tasks while staying organized, including ability to prioritize for designated executives what is critical and what can wait for their return.Other duties as assigned.

 

Qualifications: 

Associates degree or higher, preferred.2 + years previous experience as an executive assistant in a dynamic, fast-paced environment strongly preferred.Advanced knowledge of the Microsoft Office suite, including Excel, Word, and PowerPoint, and document management systems.Ability to handle and coordinate multiple projects at the same time.Exceptional analytical and problem-solving skills.Excellent phone and strong presentation skills.Excellent verbal and written communication skills.Discretion, emotional intelligence, and adaptability.Bilingual a plus (English required, Spanish/Portuguese preferred) Detail Oriented.40+ hours per week.Must be team oriented with a desire to work in corporate office environment.Motivated/self-starter.Can perform the functions of the job with or without a reasonable accommodation.Some travel may be required.

 

The applicant who fills this position will be eligible for the following compensation and benefits:
