Description
We are looking for a temporary Executive Assistant to provide high-level administrative support to three senior executives in a dynamic museum and botanical setting. Based in Bronx, New York, this role requires exceptional organizational skills, strong written and verbal communication abilities, and proficiency in managing electronic systems. This is a long-term contract position offering the opportunity to work in a collaborative and fast-paced environment.
Responsibilities:
• Manage complex calendars and coordinate scheduling for three senior executives, ensuring seamless workflows.
• Process and track invoice payments while maintaining accurate day-to-day budgeting activities.
• Handle timesheet tracking and ensure timely submissions using electronic systems.
• Arrange travel logistics and prepare expense reports for executives.
• Organize and schedule meetings, including setting up conference calls and virtual sessions using tools like Cisco Webex and Microsoft Teams.
• Utilize financial systems such as Unit4 and PaymentNet to process invoices efficiently and follow up with the finance department.
• Create and maintain spreadsheets, using Excel templates to track and analyze data.
• Draft correspondence and reports with a high level of accuracy and attention to detail.
• Collaborate with internal teams to ensure smooth administrative operations and compliance with organizational protocols.
• Provide technical support for electronic systems and troubleshoot common issues as needed.
Requirements • Minimum of 7 years of experience in an executive assistant or similar administrative role.
• Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
• Experience with financial systems such as Unit4, PaymentNet, and ADP.
• Excellent written and verbal communication skills, with the ability to articulate ideas clearly.
• Demonstrated expertise in calendar management and coordinating schedules for multiple stakeholders.
• Familiarity with electronic systems and tools like Cisco Webex, Concur, and Kronos Timekeeping System.
• Ability to work independently and manage multiple tasks in a fast-paced environment.
