Executive Assistant
Description We are looking for a highly skilled Executive Assistant to support the Chief Human Resources Officer in a dynamic and fast-paced environment. Based in Chicago, Illinois, this role requires exceptional organizational abilities, strong communication skills, and the ability to handle sensitive information with discretion. The ideal candidate will be proactive, meticulous, and capable of managing multiple priorities effectively. This position is hybrid, 3 days on-site, offers a salary of $140,000-$160,000 + full benefits. Responsibilities: • Coordinate and resolve issues independently while seeking guidance from the CHRO when necessary. • Manage the CHRO's schedule, including planning meetings, conferences, and travel arrangements. • Support business initiatives and projects by gathering information, maintaining status reports, and facilitating communication among stakeholders. • Evaluate and prioritize information or issues requiring the CHRO's attention. • Attend meetings and seminars, taking detailed notes and providing relevant information as needed. • Prepare and distribute complex correspondence, reports, and documents using advanced office technologies. • Build and maintain effective relationships with internal and external business partners to ensure smooth transactions. • Develop and manage filing systems, ensuring proper document retention schedules and maintenance. • Mentor and train other staff members, fostering growth and development. • Perform additional duties as assigned to support the department's objective. Requirements • Outstanding written and verbal communication skills with a detail-oriented approach. • Exceptional organizational abilities to manage and prioritize multiple tasks and projects. • Strong interpersonal skills to interact effectively with internal and external partners. • Proven ability to work independently and take initiative in problem-solving. • Advanced proficiency in Microsoft Office Suite and other relevant software applications. • Experience with tools such as Cisco Webex Meetings, Concur, and calendar management. • Ability to handle confidential documents and sensitive information with discretion.
