Executive Assistant
Job Description: The Ohio University College of Business invites applications for an Executive Assistant to the Dean. This position is in-person, on campus in beautiful Athens, Ohio, and is expected to begin August 2025. This position will represent the College of Business Dean’s Office as administrative liaison internally as well as externally to high level local, state and national constituents by providing high level administrative assistance to executives in the Dean’s Office including the Dean, Associate Deans, and Assistant Deans including calendar management, high profile donor coordination, including visits to campus and preparation of complex travel arrangements and itineraries associated with the guests as well as travel for the Dean and those traveling under the direction of the Dean. It will also serve as the “gate keeper” to the Dean and manage the Dean’s Executive Advisory Board and assist with coordination of events associated with the Dean, as needed. It will also serve as the office manager of the Dean’s Office. College of Business Job Accountabilites include: + Provides administrative support to the Dean and Dean’s Office by managing calendars that include internal and external constituents, creating and coordinating travel arrangements and itineraries, managing day to day operations of the Dean’s Office, and serving as the office manager for the Dean’s Office. Supports the daily schedule of the Dean by providing support in real time for keeping the Dean on schedule and up to date on any changes. The position will also assist the Dean’s Office and the College with process and procedures, including purchasing, expense reconciliation, service coordination, student management, and other special projects for the Dean. + Plan, coordinate, and facilitate on and off campus Dean’s Office events (as needed), which can include, spring and fall Executive Advisory Board meetings and on and off campus International visits which includes multiple­ day itineraries that involve multiple business meetings with top campus Administrators including the President and Provost. This can also include planning of some college social events, faculty and staff photo sessions, Student Advisory Council meetings, Faculty Meetings and Faculty Advisory Council meetings, and other COB event support as needed. + Manage the Dean’s Executive Advisory Board by maintaining contact database and website for the College’s Executive Advisory Board, including personal and business information. Assists as a point person for the Development Office, including working extensively in the alumni database to pull accurate information such as donations, work history and financial backgrounds of donors and Board members. + Hire, supervise, train, evaluate upper level Student Assistants for the Dean’s Office student team. Direct the implementation of supervisory policies and procedures for the student employee team that includes regular meetings, coordinating schedules and special project assignments. Will be responsible for creating and publishing of COB internal e-newsletter. General Description Supports the general administrative functions of a wide variety of academic or administrative units including answering phones, greeting/referring/assisting visitors, customers, staff, or others, preparing documents and reports, compiling records, scheduling meetings, organizing and maintaining information, coordinating calendars, analyzing data including budgetary expenditures, and providing high level administrative assistance to executives. General Job Responsibilities • Typically supervises or oversees the work of student employees and other Technical & Administrative Support staff. • Typically reports to dean or vice president level. Represents executive and department to the public, employees, and students. Establishes priorities for inquiries; brings inquiries to resolution and/or delegates appropriately to ensure proper handling. • Oversees planning unit administrative processes and coordinates internal and external communications. • Coordinates multifaceted calendar of appointments including the determination of appropriate meeting length, location, and participants. • Coordinates or completes special projects. Represents executive in meetings and/or committees. Acts in the absence of administrator to perform high level administrative duties. • Researches and analyzes complex problems and provides recommendations for resolution. • Develops and monitors protocol for handing and maintaining confidential materials. • Prepares and monitors budget and other financial documents for a planning unit. Maintains accountability for budget expenditures. Minimum Qualifications: Knowledge of technical and practical administrative concepts, processes, and methods typically obtained by a high school degree or GED or equivalent and a minimum of 5 years administrative support experience. An equivalent combination of education, training, and experience is acceptable. Specific knowledge, certifications, and licensure will apply at the position level.
