Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to support the President of a leading hospitality company in Irvine, California. This is a Contract to permanent position that offers an excellent opportunity for growth and skill development. The role involves working onsite 2-3 days per week, with flexible hours, and requires an experienced and detail-oriented individual with a strong background in executive-level administrative support. Responsibilities: • Maintain and manage the President's calendar, ensuring seamless scheduling of meetings, appointments, and events. • Coordinate complex travel arrangements, including booking flights, accommodations, and ground transportation. • Prepare and organize documents, presentations, and reports for executive meetings. • Act as the primary liaison between the President and internal teams, fostering effective communication. • Monitor and prioritize incoming correspondence, responding to urgent requests as needed. • Provide administrative oversight, ensuring the efficient operation of the executive office. • Assist with special projects and initiatives, delivering high-quality results under tight deadlines. • Utilize Microsoft Office 365 tools to create and manage documents, spreadsheets, and presentations. • Support the President in decision-making processes by conducting research and gathering relevant information. • Uphold discretion and confidentiality in handling sensitive information and matters. Requirements • Minimum of 5 years of experience as an Executive Assistant or in a similar role. • Expertise in managing multiple calendars and coordinating schedules effectively. • Proficiency in booking and managing travel arrangements for executives. • Advanced knowledge of Office 365, including Word, Excel, PowerPoint, and Outlook. • Strong organizational skills with exceptional attention to detail. • Ability to handle confidential information with professionalism and discretion. • Excellent communication skills, both written and verbal. • Proven ability to work independently and manage time efficiently in a fast-paced environment.
