Executive Assistant
Description We are looking for a highly skilled and detail-oriented Executive Assistant to support C-suite executives in a fast-paced, demanding environment. The ideal candidate will possess exceptional organizational abilities, attention to detail, and discretion in handling sensitive information. This is a long-term contract position based in New York, New York. Responsibilities: • Manage intricate calendars, schedules, and appointments for C-level executives to ensure seamless coordination. • Arrange domestic and international travel plans, including flights, accommodations, and transportation. • Draft, edit, and proofread correspondence, reports, presentations, and other documents with precision. • Organize and facilitate meetings, events, and conference calls, preparing detailed agendas and capturing minutes. • Serve as a liaison with internal teams and external stakeholders, maintaining a detail-oriented demeanor. • Safeguard confidential information and ensure secure communication and storage practices. • Lead and oversee special projects, tracking progress and ensuring timely completion. • Develop and implement streamlined administrative processes to optimize executive productivity. • Maintain and prioritize action items, providing follow-ups to ensure tasks are completed efficiently. Requirements • A minimum of 5 years of experience providing executive-level support to C-suite leaders. • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with tools like Slack, Zoom, and project management platforms. • Exceptional organizational skills and the ability to manage multiple priorities effectively. • Strong written and verbal communication skills, enabling interaction with individuals across all organizational levels. • Proven ability to work under pressure and meet tight deadlines. • High level of discretion and professionalism in handling sensitive information. • Experience with tools such as ADP Financial Services, Cisco Webex Meetings, Concur, CRM systems, and Kronos Timekeeping System. • Expertise in calendar management, conference calls, and executive correspondence.
