Description We are looking for a highly skilled Executive Assistant to provide comprehensive administrative and bookkeeping support to key leaders. This role involves managing financial records, coordinating schedules, overseeing vendor relations, and handling event planning with precision and professionalism. Based in Dallas, Texas, this is a Contract-to-Permanent position that requires a proactive individual with outstanding organizational abilities.
Responsibilities:
• Coordinate and manage complex schedules, ensuring seamless calendar organization and prioritization of tasks.
• Maintain accurate financial records for multiple entities, including accounts payable and receivable duties.
• Oversee vendor relationships, including managing contracts, budgets, and performance for household projects.
• Plan and execute events, ensuring all logistics are managed efficiently.
• Handle travel arrangements such as booking flights, accommodations, and ground transportation.
• Perform errands and ad hoc tasks to support leadership and household needs.
• Resolve issues independently, demonstrating strong problem-solving capabilities.
• Utilize bookkeeping software like QuickBooks to ensure financial accuracy and compliance.
• Manage multiple projects with minimal supervision, ensuring deadlines and objectives are met.
• Communicate effectively with internal and external stakeholders to ensure clarity and alignment on priorities. Requirements • Proven experience in bookkeeping and managing financial transactions with tools such as QuickBooks.
• Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
• Experience in vendor management, including negotiating contracts and overseeing performance.
• Ability to coordinate travel arrangements and plan events with attention to detail.
• Excellent communication skills, both written and verbal, to interact with diverse stakeholders.
• Familiarity with systems like ADP, Cisco Webex Meetings, Concur, CRM tools, and Kronos Timekeeping.
• Detail-oriented demeanor and trustworthy disposition, capable of handling sensitive information.
