Executive Assistant
Description We are looking for a highly organized and proactive Executive Assistant to support senior leadership in the nonprofit industry. This is a long-term contract position based in Nashville, Tennessee, offering an excellent opportunity to work in a fast-paced and dynamic environment. The ideal candidate will excel in managing schedules, coordinating communications, and handling administrative tasks with precision. Responsibilities: • Manage executive calendars, including scheduling meetings, appointments, and conference calls. • Coordinate and facilitate virtual meetings. • Prepare and process expense reports using tools like Concur. • Oversee timekeeping and payroll systems, including Kronos Timekeeping System. • Draft and manage correspondence, ensuring accuracy and professionalism. • Organize and maintain records, files, and documents for easy access. • Assist in CRM system updates and data entry to support organizational needs. • Serve as a key point of contact for internal and external communication. • Support financial services activities, including ADP-related tasks. • Ensure smooth coordination of events and logistics for executive-level functions. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Proficiency in tools such as Cisco Webex Meetings, Concur, and Kronos Timekeeping System. • Strong organizational and multitasking skills with attention to detail. • Excellent written and verbal communication abilities. • Familiarity with CRM systems and data management. • Ability to handle confidential information with discretion. • Competence in calendar management and scheduling. • Background in financial services or healthcare industry is preferred.
