Executive Assistant
Description We are looking for an experienced and proactive Executive Assistant to support the Executive Director (ED) in Minneapolis, Minnesota. This a part-time contract-to-permanent position requires a highly organized individual who can manage calendars, coordinate meetings, and handle administrative tasks with precision. The role involves direct communication with teams, vendors, and stakeholders, ensuring smooth operations and timely delivery of responsibilities. Responsibilities: • Manage the ED’s calendar, including scheduling appointments, organizing virtual meetings, and booking onsite meeting rooms when needed. • Coordinate Zoom meetings, including sending invitations, adding guests, and maintaining schedules for committees and contractors. • Prepare and distribute meeting agendas with input from the ED, take detailed notes during meetings, and share actionable summaries with attendees. • Facilitate regular team meetings, including weekly sessions with staff, the communication team, and leadership, as well as bi-monthly or monthly staff gatherings. • Handle incoming and outgoing calls on behalf of the ED, ensuring clear and prompt communication. • Monitor and manage text message communications via Signal between board members, staff, and consultants. • Create and organize documents such as presentations, reports, and other materials for board meetings, donor meetings, and conferences. • Maintain accurate records and databases in Google Drive, implementing a structured file-naming protocol and filing relevant documents. • Assist with project coordination by tracking progress, following up on tasks, and conducting research to support reports and presentations. • Provide conference support, including vendor coordination, processing invoices, and ensuring high-quality execution of the annual conference. Requirements • Proven experience in executive-level administrative support, including calendar management and meeting coordination. • Proficiency in tools such as Macbook, Google Workspace, Zoom, and CRM platforms. • Strong written and verbal communication skills, with the ability to prepare detailed and organized correspondence and reports. • Skilled in document preparation and record-keeping, with attention to detail and organization. • Ability to handle multiple priorities effectively and ensure timely follow-up on tasks. • Familiarity with Signal and other communication tools for managing team interactions. • Experience in vendor coordination and conference planning is preferred. • Knowledge of financial tools such as ADP and Concur is a plus but not necessary TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
