Executive Assistant
Description We are looking for a meticulous Executive Assistant to join our team in Charleston, South Carolina. In this Contract to permanent position, you will play a pivotal role in providing high-level administrative support to executive leadership, ensuring seamless coordination of schedules, meetings, and travel arrangements. This is an exciting opportunity for an organized individual who thrives in a fast-paced environment and values confidentiality. Responsibilities: • Manage executive calendars, including scheduling meetings, appointments, and conference calls. • Coordinate domestic and international travel arrangements, ensuring all details are organized and accurate. • Prepare and review confidential correspondence, reports, and meeting minutes with a high degree of professionalism. • Facilitate the planning and execution of executive meetings, including agenda preparation and logistical arrangements. • Maintain effective communication with stakeholders to ensure alignment and timely updates. • Utilize Concur to process travel expenses and reimbursements efficiently. • Organize and coordinate team meetings, ensuring all materials and resources are prepared in advance. • Act as a trusted point of contact for executives, handling requests and inquiries with discretion. • Ensure the confidentiality of sensitive information and documents. • Support other administrative tasks as needed to assist executive leadership. Requirements • Proven experience as an Executive Assistant or similar role, preferably supporting senior leadership. • Strong proficiency in using Concur for travel and expense management. • Exceptional organizational skills with the ability to manage multiple priorities effectively. • Excellent written and verbal communication skills. • Demonstrated ability to handle confidential information with discretion. • Proficiency in coordinating travel arrangements, including international travel. • Solid experience in calendar management and scheduling. • Ability to take accurate meeting minutes and prepare well-organized documentation.
