Description
We are looking for an experienced Executive Assistant to provide comprehensive administrative support to senior executives in a dynamic consulting setting. This role involves managing schedules, coordinating travel arrangements, and facilitating communication across internal and external stakeholders. The ideal candidate will excel in organization, multitasking, and maintaining confidentiality while ensuring smooth daily operations. The role supports the CFO and SVP and will work on site in the Chicago Loop supporting the C Suite.
Client offers a base salary of $100k-$120k, plus benefits including health, dental, vision, short and long term and commuter benefits, PTO and 401k with a match.

Responsibilities:
• Coordinate executive calendars by scheduling appointments, meetings, and events to optimize time management.
• Arrange domestic and international travel plans, including booking flights, accommodations, and transportation.
• Prepare and submit expense reports accurately and in a timely manner.
• Document meeting minutes and distribute them to relevant stakeholders to ensure clear follow-up actions.
• Handle logistics for corporate meetings such as reserving venues, managing technology setups, and organizing materials.
• Act as a point of contact between executives and internal teams as well as external partners.
• Draft and manage correspondence, including emails, memos, and reports, while maintaining clear and effective communication standards.
• Support executives with personal errands and ad hoc administrative tasks as needed.
• Facilitate conference calls and virtual meetings using platforms such as Cisco Webex Meetings.
• Utilize systems like Kronos Timekeeping and Concur for financial tracking and time management tasks.
Requirements • Minimum of 10 years of experience as an Executive Assistant or in a similar administrative role.
• Proficiency in calendar management and scheduling tools.
• Strong familiarity with platforms such as Cisco Webex Meetings, Concur, and CRM systems.
• Demonstrated experience with financial services and timekeeping systems like ADP and Kronos.
• Excellent written and verbal communication skills to handle correspondence and liaise effectively.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• High level of professionalism and discretion when handling sensitive information.
