Executive Assistant
Description We are looking for an Executive Assistant to provide high-level administrative support in a dynamic manufacturing environment. This is a Contract to Hire position based in Minneapolis, Minnesota, offering an exciting opportunity for an individual skilled in managing schedules, coordinating events, and handling communication with precision. The ideal candidate will be an expert at multitasking and ensuring that operations run smoothly for the executive team. Responsibilities: • Manage executive calendars, scheduling meetings and appointments with accuracy and efficiency. • Coordinate travel arrangements using tools like Concur and ensure all itineraries are well-organized. • Oversee event planning, including logistics, vendor coordination, and on-site support. • Prepare, review, and distribute correspondence and documentation with attention to detail. • Handle time management tasks by prioritizing and organizing daily activities effectively. • Act as the primary point of contact for internal and external communication on behalf of executives. • Maintain and update records, reports, and files, ensuring confidentiality and accuracy. • Utilize Microsoft Office Suite to create presentations, spreadsheets, and other documents. • Troubleshoot scheduling conflicts and provide proactive solutions to maintain productivity. • Support the team with additional administrative duties as needed. Requirements • Proven experience as an Executive Assistant or in a similar administrative role. • Proficiency with tools like Concur and About Time for travel and time management. • Strong skills in calendar management and multitasking. • Exceptional communication abilities, both written and verbal. • Advanced knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint. • Outstanding organizational and time management skills. • Experience in event planning and coordination. • Ability to maintain discretion and handle sensitive information with professionalism.
