Job Description
Executive Assistant
In this role, the Executive Assistant, will report to the Executive Assistant Manager, supporting our senior executives, to ensure that their daily operations run smoothly and efficiently. You’ll be the ultimate organizer, keeping calendars in check, helping with expenses, and helping to ensure that the executives' time is used as effectively as possible.
Your main responsibilities will include scheduling meetings, coordination, and handling expense reports that allow leadership to focus on strategic initiatives. You'll also be tasked to take on light personal tasks, like managing appointments, to support the executives' overall workflow. This is a role for someone who enjoys handling a variety of responsibilities, from coordinating high-level meetings to ensuring that the day-to-day details are always under control.
To thrive in this role, you’ll need top-notch organizational skills, a proactive attitude, and a keen ability to anticipate needs. Every day will be different, and you’ll be the go-to person for keeping things on track, ensuring nothing falls through the cracks.
What You'll Do
Manage executive calendars, including scheduling and prioritizing meetings, events, and calls.
Coordinate logistics for meetings, ensuring all necessary materials and resources are prepared in advance.
Organize travel arrangements when needed, ensuring seamless itineraries and addressing last-minute changes.
Manage expense reports: track and submit expense reports accurately and on time.
Handle confidential information with discretion and maintain a high level of professionalism.
Global travel may be required up to 20-30% of the time
Other duties as assigned.
Required skills
What We're Looking For
5+ years as an Executive Assistant, supporting C-level executives
5+ years coordinating high-volume global travel and calendar management across global time zones, with a focus on efficiency and attention to detail.
3+ years G-suite experience
