Executive Assistant
Description Are you a highly organized professional with exceptional communication skills and a proactive mindset? Our client is seeking an experienced Executive Assistant (EA) to provide high-level administrative support to senior executives. In this critical role, you’ll act as a trusted partner, managing schedules, coordinating logistics, and ensuring operational efficiency. Key Responsibilities + Serve as a primary point of contact, managing all communications, scheduling, and administrative tasks for senior executives. + Coordinate and maintain executive calendars, schedule meetings, and organize appointments to maximize productivity. + Support internal and external meetings by preparing agendas, taking minutes, and ensuring proper follow-up on action items. + Arrange complex travel itineraries, including flights, accommodations, and agendas, while proactively addressing any changes or challenges. + Draft, proofread, and edit memos, presentations, and high-level correspondence on behalf of the executive team. + Monitor and prioritize incoming emails, calls, and requests, ensuring timely attention and resolution. + Maintain high confidentiality while managing sensitive information and handling executive documentation. + Interact professionally with clients, vendors, and internal staff to represent the organization positively. + Oversee special projects and ad hoc initiatives as directed by executives, ensuring timely and successful delivery. Requirements + At least 3+ years of experience in an Executive Assistant or high-level administrative role. + Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with document management tools or CRM systems. + Exceptional organizational, multitasking, and time-management abilities. + Strong written and verbal communication skills with a professional and approachable demeanor. + Proven ability to anticipate needs, stay one step ahead, and solve problems proactively. + Experience in managing complex schedules, travel arrangements, and project coordination. + Ability to remain calm under pressure and prioritize assignments effectively in fast-paced environments. + Discretion and confidentiality in handling sensitive information. + Bachelor’s degree or equivalent work experience preferred.
