How will you make an impact in this role?
Based in London, this Executive Assistant will support two VPs within the Global Strategy, Operations and Performance (GSOP) organisation: VP, Financial Crimes Strategy & Operations and VP, Global Merchant Payments and Disputes.
Responsibilities:
Organisation and maintenance of complex diaries using a high level of integrity, managing across global business partners and different time zones Organising internal and external business meetings, and providing all necessary administrative support for the meetings as well as supporting the planning and execution of external events. Monitoring Outlook diary communications and ensuring a timely response. Utilising and understanding all internal systems, processes and policies, e.g. Concur for travel booking and expenses, reserve system, etc. Ensuring timely preparation and processing of expense reports; tracking and processing of invoices. Managing travel arrangements including air, hotel, transfers, and agendas and managing last minute changes as required. Providing detailed itineraries of these trips, including all hotel arrangements, transfers, meetings scheduled, contact details, etc. Assisting with coordination, scheduling and organising of senior leader visits and team events. Managing own e-mails and correspondence in a timely manner. Undertaking ad-hoc requests and project work as required.Minimum Qualifications:
Demonstrable executive administrative experience and specifically with experience supporting VPs with regional/global responsibilities. Good team player with a strong work ethic who collaborates well and demonstrates high integrity, personal initiative and a positive attitude. Demonstrated ability to interact with all levels of management as well as the ability to handle confidential and sensitive information with discretion. Ability to multi-task and prioritise in a fast-paced environment and to remain both calm under pressure and flexible to interruptions and changing priorities. Strong interpersonal and communication skills with the ability to form professional relationships across all areas of the organisation. Highly developed organisational and time management skills consistently maintaining attention to detail and accuracy.
