The Executive Assistant is a strategic partner to the National Director, ensuring smooth and efficient management of their priorities and schedule. This role is key in organizing and coordinating meetings, tracking follow-ups, managing communications, supporting high-level governance activities, and enabling the National Director’s office to function at peak effectiveness. It requires discretion, initiative, and the ability to manage multiple demands with professionalism and confidentiality.
Supporting National Director
Coordinate and organize the National Director’s calendar, meetings, travel, and engagements.Prepare, and follow up on minutes, actions, and outcomes of National Director’s meetings and engagements.Track National Director’s delegated projects to ensure timely progress and reporting.Maintain a comprehensive and up-to-date contact database.Prepare and facilitate procurement and financial documentation as needed.Serve as the primary liaison for internal and external communication on behalf of the National DirectorSupporting Senior Leadership Team
Support SLT meetings: scheduling, documentation, and action tracking.Provide executive-level coordination for cross-functional projects.Assist with the coordination of events and other office-wide initiatives when required.Perform other duties as required
Organize Advisory Council and Board Members’ meetings, including agenda setting, minutes, and follow-ups.Coordinate updates for the National Office Risk Register and governance documents.Represent the National Director’s office for administrative correspondence as needed.Support the National Office’s preparedness for humanitarian and emergency responses.Minimum Requirements:
