Job Summary
We are looking for a dynamic and energetic Executive Assistant. In this key role, you will be the right hand to our Regional President providing day to day support as well as assuming project management responsibilities within the department. You will manage travel, expenses and scheduling for the Regional President while also assuming some additional support in the capacity of event management and coordination, presentation development, and data analysis as required. Working in a collaborative team environment you will partner seamlessly with the other executive assistants providing support to our executive team and their guests.We are seeking individuals with the capacity to think proactively and move quickly in a rapidly changing environment. Your ability to learn on the fly and make sound decision is essential to your success, and the success of the team! This role offers fantastic exposure and development opportunities. Must be flexible on hours and able to support remotely.
As an Executive Assistant, you will be responsible for…
Heavy calendar management: coordinating and scheduling internal and external meetings, along with resolving any conflictsCoordinate meetings including: book conference rooms, confirm attendees, catering, agendas, and preparing any meeting materials Support Leadership team with projects as assigned Ensure Regional President is prepped and prepared for all meetings and support debrief and follow up action item collection and executionDevelop and maintain strong relationships across teams, especially at the leadership level Create and manage travel schedules and complete expense reportsResolve inquiries with appropriate team members and ensure timely response to urgent issuesRequired Skills:
Excellent interpersonal, written and verbal communication skillsAdvanced skills with Microsoft Office (Word, Excel, and PowerPoint)Ability to manage multiple high-level projects at one time and prioritize activities appropriatelyAbility to demonstrate composure and self-confidence in difficult situationsExceptional organizational skills; experience coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum directionSelf-starter; the ability to work with minimum supervisionAbility to learn quickly in an environment where all the information may not be clearAbility to handle sensitive, confidential informationStrong interpersonal skills and the ability to build relationships with stakeholders, including peers, board members, customers, etc.Required Experience:
