Job Description
As an Executive Assistant, you'll be at the center of fast-paced activity, using your stellar office and project management skills to support the HR talent leadership team.
What Will You Do?
Ensure team of leaders, including the VP of Talent, are organized through planful scheduling and execution of key meetings, juggling of key priorities, and arrangement of complex global, multi-city travelSkilled and experienced working with colleagues based across different geographic regions with strong cultural awareness and ability to balance multiple time zones Develop an understanding of the platform priorities and goals for the function; use knowledge and understanding in prioritizing meeting requestsSchedule and coordinate complex executive meetings, bringing together geographically dispersed teams, handling logistics, and documenting follow-up activitiesCollaborate and build relationships to drive results in a global-matrixed organization experiencing change and transformationComplete talent management projects as assigned by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, and problem-solvingResearch, compile, summarize, and analyze information to make decisions, find answers, and respond to various inquiries from internal and external customersUse the full suite of Microsoft Office products to prepare high-quality correspondence, reports, and presentationsManage expense reporting, process vendor invoices, and support annual budget processesAttend meetings and prepare minutes as requestedDemonstrate both the flexibility and adaptability required to meet the dynamic nature of the platformMaintain confidential files and recordsCoordinate with other Executive Assistants and Administrative Staff to cover other areas due to illness, vacation, or other special circumstancesOccasional travel coordination support after hours and on weekends
How Will You Get Here?
High school diploma5+ years of executive assistant experience in a professional office environment, large organization preferredDemonstrated experience in working independently to identify, analyze, and solve problems with creative solutionsSkilled and experienced in the art of organization and time management to juggle multiple priorities with competing deadlinesExcellent written and verbal communication skills. Infallible proof reading and spellingSolid judgment, tact, and diplomacy skills in dealing with internal and external customers as well the ability to handle highly confidential and proprietary informationFlexible and adaptable, with the ability to respond to last-minute changes while maintaining poise and a positive “can do” attitudeExtensive international travel management with VISA administration experienceExpert level skills in all Microsoft office suite products, including Power Point, Excel, Outlook, VisioExperience with Concur or other expense systems helpful.
