Role Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support an executive leader and contribute to the effectiveness of our Business Support community. The ideal candidate will provide high-level administrative support, drive operational excellence, coordinate complex schedules and travel, and manage logistics for high-impact meetings and events. This role also includes strategic responsibilities such as supporting business process improvements, event planning, and discipline development within the team.
Key Responsibilities:Calendar Management & Meeting Logistics:
Coordinate and manage high-profile calendars, prioritize customer and partner engagements, and ensure seamless execution of meetings and events.
Travel & Expense Management:
Plan and book complex travel itineraries, ensuring policy compliance. Process and manage expense reports and collaborate with finance teams on budget tracking.
Event Planning & Coordination:
Organize internal and external events, develop workback schedules, and ensure a consistent and professional experience across regions.
Cross-Functional Communication:
Foster collaboration across teams, maintain internal and external partnerships, and deliver clear and timely communication.
Project Management:
Plan, track, and execute project deliverables and timelines, using tools like Microsoft Project, Teams, and SharePoint.
Resource & Space Management:
Support budget monitoring for administrative and team functions. Coordinate executive office space planning and logistics.
5+ years of experience in administrative or executive support roles with a strong emphasis on calendar management, event planning, and travel coordination.
Bachelor’s degree in Business Administration, Communications, Human Resources, or a related field — or equivalent professional experience.
High proficiency in Microsoft Office tools including Word, Excel, Outlook, Teams, OneDrive, and SharePoint.
Fluent in professional English (spoken and written).
Experience handling confidential information with a high degree of discretion.
Strong interpersonal, time management, and organizational skills.
Preferred Qualifications:Experience managing or reviewing budgets (e.g., events, morale, travel).
Background supporting executives in the technology industry or other fast-paced sectors.
Familiarity with tools like Microsoft Project, PowerPoint, and other collaboration software.
Certifications or coursework in project management or administrative operations.
