Job Summary

The Executive Assistant (EA) provides dedicated, high-level administrative support to the vice presidents of the Public Affairs/Government Relations and Marketing departments. The EA is responsible for ensuring seamless day-to-day department operations by managing complex schedules, local and domestic travel, executive communications, department logistics, and project follow-through. Success in this role requires exceptional organization, adaptability, attention to detail, and a consistently positive, professional demeanor. 

Essential Functions

Executive & Departmental Support 

Manage highly dynamic and frequently changing calendars across multiple time zones, coordinating internal meetings, executive reviews, stakeholder engagements, and cross-functional touchpoints. Anticipate needs based on email content (e.g., suggest meeting times, block focus time).  Serve as the primary point of contact for scheduling and administrative matters, balancing access and prioritization across multiple departments and senior leadership.  Prepare briefing documents, meeting agendas, and talking points, ensuring executive readiness for all engagements.  Handle sensitive information and communications with absolute discretion and professionalism. 

Travel & Expense Management 

Coordinate detailed local and domestic travel arrangements, including transportation, lodging, and event planning for executives and their teams.  Prepare and reconcile expense reports accurately and in a timely manner using tools such as Concur (or other systems).  Support logistics during travel periods, including changes, itinerary adjustments, and stakeholder coordination. 

Communications, Media & Legislative Support 

Maintain the web-based legislative tracking service (TLS) and manage legislative priority tracks.  Schedule meetings with local and state legislative members as well as other key members of the communities.  Assist with related administrative functions, including managing receipts, expenditures, and compliance documentation for the company’s political action committee (PAC).  Draft and distribute letters, memos, and reports on public affairs, corporate communications, political and legislative matters, and elections.  Monitor and track media inquiries regarding all Zachry-related entities and support response coordination as needed.  Assist marketing and communications teams with the maintenance of internal and external communications platforms, develop and track project-specific communications and outreach activities, and assist with website maintenance and social media content. 

Internal Engagement & Special Projects 

Support executive team with department-wide communication, documentation, and information sharing.  Coordinate logistics and materials for team meetings, all-hands, and strategic planning sessions.  Maintain department records/files in accordance with the department retention schedule.  Participate in company volunteer initiatives and promote internal involvement.  Manage special projects, research assignments, and ad hoc initiatives as directed.  Fulfill all other duties as required to support department and executive effectiveness.

Required Skills & Experience

Required: 

Minimum 7 years of administrative support experience, with at least 3 years supporting executive-level leadership.  Demonstrated success supporting multiple high-profile leaders with complex schedules and competing demands.  Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms (Teams, Zoom, SharePoint).  Proven experience preparing and submitting accurate expense reports.  Excellent written and verbal communication skills, with a focus on clarity and professionalism. 

Preferred: 

Prior experience Public Affairs, Government Relations, Marketing, or similar environments.  Familiarity with legislative tracking systems, political compliance reporting, or PAC operations.
