In this position as **Executive Administrator, Partner Programs & Experiences** , the role involves providing administrative support to the General Manager of the Partner Program and Experiences (PP&E) organization. Responsibilities include managing complex calendar requirements based on an understanding of business and General Manager needs, while maintaining confidentiality regarding sensitive topics. The position requires building and leveraging networks across organizations to support the team and leadership. It includes participation in the Business Support community and involvement in organizing team activities such as All Together, Weekly Leadership meetings, and offsite events. The role provides oversight for key planning with attention to budget considerations and upholds professional standards. Expense management for the leader, as well as coordination of the annual rhythm of business (ROB) with the leadership team and business management, including fiscal-year calendars and executive meeting schedules. The position balances multiple projects with various deadlines, ensuring operational effectiveness within and across business groups as needed. Additional duties include maintaining and arranging travel for the General Manager or PP&E group.

**Responsibilities**
**Strategic Calendar and Meeting Management**
The Executive Administrator, Partner Programs & Experiences manages the General Manager's calendar, balancing preferences and business needs. Responsibilities include preparing for meetings—arranging logistics, ensuring attendance, and providing materials like agendas and briefings. The role resolves scheduling conflicts, makes prioritization decisions, and keeps the manager updated. Collaboration with Chiefs of Staff and Business Managers support decision-making and meeting follow-up.
**Budget Tracking and Expense Management**
This role manages discretionary budget tracking for morale, hardware, and supplies, collaborating with Budget Support on employees morale, travel and hardware budgets. This includes maintaining purchase and expense documentation, ensuring accurate expense tracking, and enforcing policy compliance.
**Travel Coordination**
Coordinates all travel for the General Manager (GM) and PP&E group, handling accommodations, transportation, and compliant travel process. Responsibilities include preparing detailed itineraries, setting travel expectations, briefing leaders, ensuring logistics run smoothly, and addressing any issues during trips. The EA secures required documents and liaises with stakeholders before travel and ensures adherence to Microsoft travel policies, support reconciling T&E for GM including the US Travel Tax Tool.
**Team Experience and Onboarding Support**
Facilitating team experience activities is another important aspect of the role. The Executive Administrator, Partner Programs & Experiences collaborates with PP&E teams to support recruitment and works closely with hiring managers to ensure smooth hiring processes. The admin assists with onboarding tasks, such as ordering new-hire equipment, setting up workstations, and managing distribution lists and security groups. Supporting new employees, vendors, and interns as a primary point of contact, the admin connects new hires with relevant stakeholders and provides executive onboarding assistance. Additionally, the role manages headcount activities in partnership with Business Managers and Chiefs of Staff, handling transfers, departures, reporting, offboarding, and related transactions within the necessary tools.

**Qualifications**
**Required/minimum qualifications**
+ 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management.
+ 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
+ 5+ years of experience managing calendars, setting appointments, and coordinating availability using various tools and methods.
**Additional** **or preferred qualifications**
+ 2+ years experience serving as mentor to others.
+ Skilled in choosing and using effective communication channels to drive action and ensure clarity in both written and verbal exchanges.
+ Uses sound judgment and maintains confidentiality, understanding the impact and legal, compliance and policy implications of actions.
+ Confidently interacts with senior leaders, addresses questions, and maintains professionalism under pressure.
+ Understands business operations, industry trends, landscape, and can identify growth opportunities and cost-saving measures.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.
