Responsibilities The Opportunity: The primary goal of the Executive Administrative Assistant is to provide essential support to key executives, particularly at the Director level, across the organization. This critical role ensures the smooth execution of daily operations, including travel and logistics management, expense reimbursements, AMEX support, meeting and visit coordination, local administrative tasks, and other vital administrative functions. The position requires adaptability to a dynamic work environment and the flexibility to manage a wide range of responsibilities, helping to ensure continuity and minimize operational disruptions. Through these efforts, the Executive Administrative Assistant plays a key role in fostering a positive and collaborative team culture within the organization. Your Impact: As Executive Administrative Assistant your functions would consist of: - Coordinate and book domestic and international travel for executives, including itineraries, flights, hotels, and transportation - Travel & Expense reports and submissions - Facilitate visa processing and passport-related matters - Collect and organize expense receipts, ensuring they align with company policies - Open and manage tickets for reimbursement requests, ensuring prompt closure - Review receipts and invoice tickets sent by the executive - Schedule and organize meetings for executives, considering time zones and preferences - Coordinate visits from clients, partners, and other stakeholders - Arrange logistics for visitors, including accommodations, transportation, and meeting spaces - Maintain and update executives' calendars to reflect meetings, appointments, and events - Assist in planning and organizing corporate events, conferences, and off-site meetings Note: This is a temporary 6-month role with PepsiCo. Qualifications Who Are We Looking For? Experience - 1+ years of previous professional experience as Executive Assistant - Demonstrated ability to use initiative, work proactively, and adapt quickly to a constantly changing environment - Excellent spelling - Excellent copywriting management - Advanced English - Management Assistance Experience - Strong organizational and multitasking abilities. - Excellent communication and interpersonal skills. - Office package knowledge (Excel, PowerPoint, Outlook) - Concur Travel system (optional) If this is an opportunity that interests you, we encourage you to apply even if you do not meet 100% of the requirements.
