Executive Administrative Assistant

We are seeking an Executive Administrative Assistant to join our team supporting the Global Development and Innovation President. In this role you will have the ability to work cross functionally at all levels as you connect with others within the company. This is a fast-paced position that requires you to be flexible, proactive, resourceful, and efficient, with a high-level of professionalism and confidentiality. 

What You will Do for Us

Responsible for scheduling and managing the executive calendars including prioritizing and resolving related conflicts, proactively scheduling important meetings with internal and external individuals, and maintaining an organized office.Organizes and coordinates travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, prompt filing of expense reports; ensures that all travel arrangements are compliant with the Company’s Travel Policy.Provides support in arranging meetings including coordinating the agenda, collaboration of presentations/information, handling planning, such as conference registrations, room reservations (internal and external), and local travel. Also, it provides hospitality for Senior Management or guests of the department which may include planning, arranging, and confirming all local coordination support.Manage digital tools and software to support administrative operations, including scheduling, file organization, and communication platforms.Coordinate virtual meetings, ensuring seamless setup, troubleshooting technical issues, and optimizing digital collaboration tools.Assist in streamlining workflows by leveraging office technologies and recommending efficiency improvements.Performs general clerical duties including but not limited to scanning, copying, faxing, filing, and data entry; collects and opens mail; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, maintaining multiple stakeholder group address lists.Closely collaborates with all sub-functional thought leaders, system partners, fulfills the role of key-coordinator and administrator to the GDI Leadership Team routines.Responsible for high quality event management activitiesFunction as a liaison between departments, ensuring timely sharing of information and documentation.Coordinate internal and external communications, such as meeting agendas, memos, reports, and newsletters. Use modern office software and tools, such as Microsoft Office 365, Teams, Chat GPT, etc. to enhance team communication.Continuously learn and implement new tools to improve efficiency and streamline operations.Manage basic IT troubleshooting and/or liaise with IT specialists when necessary.Contributes to the excellent reputation of The Coca-Cola Company through professional, friendly, and respectful interactions internally and externally. Performs other duties as required and/or assigned.

Skills & Qualifications & Requirements

Proven experience as an Administrative Assistant, Office Manager, or similar role (5+ years preferred).Proficiency in modern office tools (e.g., Microsoft Office Suite, Teams, Workfront, Google Workspace, project management platforms).Excellent verbal and written communication skills, including professional email etiquette.Attention to detail with strong organizational and multitasking abilities.Ability to maintain confidentiality and exercise discretion in dealing with sensitive information.Bachelor’s degree in business administration or a related field is a plus.

Must possess a proven ability to be a resourceful problem-solver.Experience in coordinating projects. Advanced skills in creating presentations and various communication materials.Strong attention to detail, interpersonal, and communication skills are needed.Excellent time management and organizational skills to meet deadlines are needed.Experience scheduling travel arrangements and schedule for management.Support experience in a professional services, sales, or marketing environment. Experience successfully creating and/or modifying processes.

Estimated time to support the GDI President directly is 70% with approximately 30% time allocated to support the rest of the GDI Leadership Team. Occasionally it requires crisis management and problem resolution outside of routine working hours.Customer Focus: Commitment to providing world-class service to clients, internal teams, and other stakeholders. Discretion and management of confidential and restricted information. Consistent strong servant leadership, with the ability to stand strong grounds.Technology & tools: Proficiency in digital tools and software and curiosity to learn. Comfortable navigating office technologies, troubleshooting minor technical issues, and ensuring seamless digital workflow efficiency.

Pay Range:

$74,800 - $93,000

Base pay offered may vary depending on geography, job-related knowledge, skills, and experience. A full range of medical, financial, and/or other benefits, dependent on the position, is offered.

Annual Incentive Reference Value Percentage:

7.5

Annual Incentive reference value is a market-based competitive value for your role. It falls in the middle of the range for your role, indicating performance at target.
