The Executive Administrative Assistant to the Global Head of Strategy and Corporate Development is essential to the day-to-day success of our global organization. We’re looking for a candidate that will be responsible for performing complex, administrative duties utilizing advanced technical skills.  You should be able to use independent judgment on assignments that are often sensitive and highly confidential in nature. We’re looking for someone that can work independently with little or no supervision and is exceptionally well organized, flexible and enjoys challenges. In this role you will have the ability to work cross-functionally at all levels as you connect with others within the company. This is a fast-paced position that requires you to be flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.   

 

What You’ll Do for Us

Responsible for scheduling and managing leaders’ calendars including prioritizing and resolving related conflicts, proactively scheduling important meetings with internal and external stakeholders, and maintaining an organized office.

Organize and coordinate domestic and international travel and related requirements to include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports; ensure that all travel arrangements are compliant with the Company’s Travel Policy.

Provide support in arranging meetings including coordinating the agenda, collaboration of presentations/information, handling logistics, such as conference registrations, room reservations (internal and external), and local travel.  Also, provides hospitality for Senior Management or guests of the department which may include planning, arranging, and confirming all local logistics support.

Timely and accurately handle communications and Company/ Department-related requests.

Maintain various departmental database systems and distribution lists.

Order supplies, and presentation materials.

Create and handle presentations, complex reports, confidential correspondence, and files.

Interface with vendors, agencies and maintain internal and external relationships.

Coordinate meetings and travel arrangements and maintain department calendar.

Help coordinate department and cross-department team events.

Initiate, track and maintain departmental purchase orders in a timely and proactive fashion.  Ensure vendor invoices are paid accurately and on time. Interface with vendors, agencies and maintain internal and external relationships.

Perform general clerical duties including but not limited to scanning, copying, faxing, filing, and data entry; collects and opens mail; completes various forms, including purchase requisitions, shipping requests, travel expense reports, requests for payment, consultancy agreements, etc.

Contribute to the excellent reputation of The Coca-Cola Company through professional, friendly and respectful interactions internally and externally. Performs other duties as required and/or assigned.

Qualifications & Requirements

High School and some college preferred in Business, Communications, or similar field is ideal.

2+ years of experience in a high-level support role.

Must possess proven ability to be a resourceful problem-solver.

Experience in coordinating projects.

Intermediate knowledge of MS Office, including Word, Excel, PowerPoint, Teams and Outlook .

Strong attention to detail, interpersonal, and communication skills are needed.

Excellent time management and organizational skills to meet deadlines are needed.

Experience scheduling travel arrangements and schedule for management.

Experience successfully creating and/or modifying processes.

Ability to prioritize effectively, interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, comfortable with a certain amount of ambiguity and changes to calendars / schedules. proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.

Pay Range:

$74,800 - $93,000

Base pay offered may vary depending on geography, job-related knowledge, skills, and experience. A full range of medical, financial, and/or other benefits, dependent on the position, is offered.

Annual Incentive Reference Value Percentage:

7.5
