The company develops, manufactures, and markets innovative, science-based products for surgical medical procedures that allow breast surgery patients to improve their quality of life. We focus on two strategic areas: breast reconstruction and breast augmentation. As the Executive Administrative Assistant, you are part of the Aesthetic & Reconstruction teams. We are looking for someone who is passionate, energetic, and agile who acts professionally while demonstrating a clear communication style. The foundation of this role will be supporting the Worldwide President and select members of the leadership team, and the selected candidate will anticipate their needs, help them stay focused, resolve issues before they arise. Solid organizational skills and ability to work across department and handle various duties are required. **Key Responsibilities:** + Coordinate complex schedules and global travel arrangements including but not limited to visa arrangements + Submit and reconcile expense reports weekly in Concur + Responsible for calendar management and coordinating schedules + Coordinate external subcontractors, including finance and legal processes + Manage Purchase Orders, arrange for payment of contractors and vendors by collaborating closely with Accounting and Purchasing departments and navigating our procurement systems. Includes, supplies, partnering with hotel vendors agencies + Plan and schedule onsite and offsite meetings, presentations, and other office related events + Ability to collaborate with other departments, such as HR, Sales, Marketing, Communications. + Manage email distribution lists + Coordinate conference room scheduling and catering for larger meetings + Admin Contingent Workforce tasks in partnership with hiring manager + Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff + Support the President in the hiring process, inclusive of scheduling and coordination of interviews + Support VPs on new employees onboarding (e.g., hardware requests, corporate card requests etc.) + Support VPs on employees offboarding (e.g., hardware return, legacy systems access shutdown, etc. **Qualifications:** + A minimum of a High School diploma or equivalent is required + A minimum of 6 years of experience supporting C level executives is required + Master global calendaring experience dealing with complex meeting and travel schedules + Excellent time management skills and ability to effectively prioritize work + Attention to detail and problem-solving skills + Technology savvy: Experience with MS office, Concur, Confluence (a plus), Amex Travel, legal contract tracking systems etc. + Experience managing projects, onboarding team members, budgets, and deliverables + Strong verbal, written communication, and interpersonal skills + Able to shift at a moment’s notice due to last minute changes to ensure an organized experience to internal and external clients. Subject to the terms of their respective plans, employees and/or eligible dependents are eligible to participate in the following Company sponsored employee benefit programs: medical, dental, vision, life insurance, short- and long-term disability, business accident insurance, and group legal insurance. Subject to the terms of their respective plans, employees are eligible to participate in the Company’s consolidated retirement plan (pension) and savings plan (401(k)).
