Executive Admin Business Analyst

JOB BRIEF (PURPOSE)

The Executive Admin Business Analyst will provide high-level administrative support to the executive leadership team and its organization and fulfill business analyst duties on strategic initiatives reporting, business development, marketing, and branding. This role requires a proactive individual with exceptional organizational skills, analytical abilities, and a keen eye for detail.

ESSENTIAL JOB FUNCTIONS

Administrative Tasks:Manage executive schedules, including meetings, appointments, and travel arrangementsCoordinate and organize meetings for onsite and offsite events, including preparing agendas and minutesPrepare and edit correspondence, reports, and presentationsSupport the development and coordination of training eventsAssist with employee onboarding and offboardingCatering for department events including external reservations

Executive Reporting:Compile management reports monthlyPortfolio summary reporting inputs quarterlyDevelop and maintain dashboards and reports to track key performance metricsCollaborate with various departments to gather and analyze dataPrepare detailed reports and presentations based on analysisResponses to third party and vendor questionnaires

Business Development:Update new business reports monthlyMaintain and coordinate business review reports quarterlyCoordinate the execution of securitization documentsCoordinate legal documentation for new businessAssistance with RFPs and proposalsProjections and reporting presentationsPipelines for new business and expansionsCompetitor/Industry Reporting

Marketing and Branding:Produce and update ongoing presentations for various needsEnsure branding is consistent for internal and external communicationsCoordinate marketing events and communicate with clients regarding the agenda and any schedule updates before and during the eventsCoordinate meetings and events with third-party vendors Client gifting

REQUIRED QUALIFICATIONS

Minimum of 3 years of experience in an executive assistant or business analyst roleStrong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Excellent written and verbal communication skillsHighly organized with the ability to manage multiple priorities and tasksStrong analytical and problem-solving skillsAbility to work independently and as part of a teamDiscretion and confidentiality in handling sensitive information

PREFERRED QUALIFICATIONS

Background in commercial real estateFamiliarity with real estate terminology and processesAbility to read and interpret loan documentsExperience with human resource system WorkdayExperience with systems for market analysis and property research (CoStar, Trepp)Experience with software for managing client relationships and tracking interactions (Jiffle, Salesforce)
