Description
We are looking for an experienced Executive Assistant with 5-10 years of experience to provide comprehensive administrative support to a team of senior executives in NY, NY. This contract position requires a proactive and detail-oriented individual who excels in managing schedules, coordinating meetings, and handling confidential information. The ideal candidate will thrive in a fast-paced environment and contribute to the seamless operation of executive-level functions.
Responsibilities:
• Manage and prioritize executive calendars, ensuring appointments, meetings, and travel arrangements are scheduled efficiently.
• Organize and coordinate meetings, conferences, and events, including creating agendas, preparing materials, and documenting minutes.
• Arrange travel logistics such as flights, accommodations, and itineraries, ensuring smooth and stress-free travel experiences.
• Prepare, edit, and review documents, reports, and presentations with exceptional accuracy and attention to detail.
• Track and process expense reports for executives, ensuring compliance with organizational policies.
• Maintain confidentiality and handle sensitive information with professionalism and discretion.
• Provide research, data analysis, and administrative support for various projects and initiatives.
• Act as a liaison with internal teams and external stakeholders to facilitate communication and resolve issues.
• Ensure efficient office operations by managing resources, supplies, and administrative tasks.
• Adapt to changing priorities and provide timely support in a dynamic work environment.
Requirements • Proven experience as an executive assistant or in a similar role, preferably supporting senior-level executives.
• Exceptional organizational skills and the ability to manage multiple tasks effectively.
• Strong verbal and written communication skills, with the ability to interact professionally at all levels.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Ability to work independently and demonstrate initiative in problem-solving.
• High level of discretion and integrity when handling confidential information.
• Strong time-management skills and the ability to prioritize in a fast-paced environment.
