Exec Associate
Description We are looking for a highly skilled and meticulous Executive Associate to provide comprehensive administrative support to senior leadership. In this long-term contract position, you will play a pivotal role in managing daily operations, schedules, and communications for a team of executives. This opportunity is based on site in New York Responsibilities: • Manage and prioritize complex calendars, scheduling meetings, appointments, and travel arrangements to ensure seamless operations. • Coordinate and prepare for meetings, conferences, and events by organizing agendas, materials, and detailed meeting minutes. • Arrange travel logistics, including flights, accommodations, and itineraries, to support efficient executive travel. • Draft, edit, and proofread documents, reports, and presentations with a high level of accuracy. • Track and process expense reports, ensuring compliance with organizational policies and guidelines. • Safeguard confidential information and maintain discretion in all interactions. • Assist with project management tasks by conducting research, analyzing data, and providing administrative support. • Serve as a key point of contact for internal and external stakeholders, ensuring prompt and precise communication. • Monitor and manage multiple priorities in a fast-paced environment to meet deadlines effectively. Requirements • Proven experience as an executive assistant or in a similar role, preferably supporting senior leaders or C-suite executives. • Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Exceptional organizational and time management skills with the ability to multitask effectively. • Excellent verbal and written communication skills, with a detail-oriented demeanor and significant experience. • High level of discretion and integrity in handling sensitive and confidential information. • Ability to work independently while maintaining a proactive and adaptable approach to tasks. • Experience coordinating travel arrangements and managing expense reporting systems. • Demonstrated ability to thrive in a fast-paced, dynamic environment.
