Excutive Office Assistant

Position Summary:

We

are seeking a proactive and detail-oriented Executive Office Assistant to provide high-level administrative support across multiple departments. This

role will primarily assist with HR-related tasks while also supporting the Project Manager and Controller with clerical and basic accounting duties. The

ideal candidate is a strong multitasker, highly organized, and eager to contribute to a collaborative team environment.

Key Responsibilities:

Provide administrative support to HR, including scheduling interviews, onboarding new hires, maintaining employee records, and assisting with benefits administration.Support the Project Manager with document preparation, meeting coordination, and project tracking.Assist the Controller with data entry, invoice processing, expense tracking, and other basic accounting functions.Maintain organized filing systems (digital and physical) for HR, project, and financial documents.Coordinate internal communications and assist with company-wide initiatives and events.Manage calendars, schedule meetings, and prepare agendas and meeting notes.Perform general office duties such as ordering supplies, handling mail, and maintaining office organization.Jump in to support various departments as needed with administrative tasks.

Required

Skills & Qualifications:

Proven experience in an administrative or executive assistant role.Familiarity with HR processes and basic accounting principles is a plus.Strong organizational and time-management skills with the ability to multitask effectively.Excellent written and verbal communication skills.High level of discretion and professionalism when handling confidential information.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with learning new software tools.A team player with a positive attitude and a willingness to learn and take initiative.

This is a full-time position with a start time between 8-9 AM, ensuring a complete 8-hour workday. We offer a supportive environment with medical insurance, life insurance, a 401k plan, and paid time off (one hour per week)

Pay and Benefits

The pay range for this position is $25.00 - $30.00/hr.
