Events Coordinator

An Events Coordinator is responsible for supporting the planning, coordination, and execution of all events within the hotel, ensuring a seamless and memorable experience for clients and guests while maximizing revenue and upholding Hilton standards.

What will I be doing?

As an Events Coordinator, you will be responsible for handling all administrative and operational aspects of event planning, from initial inquiry to post-event follow-up. You will liaise with clients and internal departments to ensure successful execution of events. Specifically, you will be responsible for performing the following tasks to the highest standards:

Coordinate and support the planning and execution of meetings, banquets, weddings, and special eventsHandle event inquiries and prepare detailed proposals and contracts in collaboration with the Sales and Banquet teamsMaintain consistent communication with clients before, during, and after the event to ensure satisfaction and address any requests or concernsPrepare function sheets and ensure accurate and timely distribution to all relevant departmentsConduct site inspections and pre-event meetings with clients when necessaryCollaborate closely with the Banquet, Kitchen, Front Office, and AV teams to ensure smooth event operationsEnsure all event setups, services, and breakdowns are carried out according to Hilton standards and client specificationsMaintain accurate event records, billing details, and post-event feedback for reporting and analysisSupport the department in achieving budgeted revenue through upselling and efficient coordinationMonitor guest satisfaction and follow up with clients to encourage repeat business

Previous experience in event planning, banquet operations, or hospitality coordinationStrong organizational and administrative skillsExcellent written and verbal communication abilitiesAttention to detail and a proactive problem-solving mindsetAbility to work under pressure and manage multiple events simultaneouslyStrong team collaboration and time management skillsFlexibility to work evenings, weekends, and holidays based on event schedule

It would be advantageous in this position for you to demonstrate the following capabilities and distinctions:

Previous experience in a hotel or events venueKnowledge of event management software and systemsDegree or certification in hospitality, event planning, or related fieldFluency in more than one language
