Desired Start Date08/01/2025 Position End Date (if temporary) To ensure full consideration, applications must be received by 11:59pm (MT) on07/14/2025 Description of Work Unit The Division of University Marketing and Communications (MarComm) oversees Marketing and Brand Management; News and Media Relations; Social Media, Video and Photography; and Community Engagement. MarComm provides central marketing, media and community relations, design, photography, video, social media to build a strong, compelling and effective brand position for the entire university and its units. This work unit also supports the operational, strategic, marketing and communications needs of CSU Spur, the CSU System administration, including the Office of the Chancellor and the CSU System Board of Governors. Position Summary The Event Manager (EM) is a member of the team responsible for the conceptualization, planning, execution, and evaluation of presidential, strategic, academic, community, and university-based institutional engagements throughout the year. The EM provides support for the conceptualization, planning, execution, and evaluation of university and community institutional events throughout the year. A substantial portion of the role is related to event planning, logistics, execution, and collaborating with colleagues across campus and around the community. The ideal candidate has a deep understanding and experience in event coordination and the ability to play a key supporting role in the creation and execution of complex engagements. Candidates should be able to work independently and, on a team, to seamlessly deliver events and projects which meet institutional and divisional priorities and goals. Additionally, the EM must have the ability to work collaboratively with a variety of campus and community partners and vendors with competing needs and outcomes. The work environment is demanding and fast-paced, requiring a strong skillset in prioritization, process, communication, and a customer/hospitality-focused approach. This position requires a flexible work schedule, including mornings, evenings, and weekends, and the ability to travel. The role has physical components where candidates are expected to be able to lift heavy items, carry/setup items into place (ex. tables, chairs, podiums, tents, etc.), take/place items to/from storage and shelving, extensive periods of time standing/walking/movement, and other physical duties as assigned. This position reports to a Director on the University & Community Engagement team. This is a full-time, 12-month, in-person position. Required Job Qualifications + Bachelor’s degree from an accredited university. + Minimum of 2 years of professional experience in project management. + Minimum of 2 years of professional event coordination, conference planning, and/or related program coordination experience. + Demonstrated ability to engage and effectively work with a variety of partners. + Ability to travel in and out of the state and work non-standard hours, including early mornings, evenings and weekends. + Ability to work in a physical setting and lift up to 50lbs. + Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date. + Candidate must be legally authorized to work in the United States by the proposed start date; CSU will not provide visa sponsorship for this position Preferred Job Qualifications + Experience planning and executing institutional and/or entertainment events in a university/college and/or community setting. + Experience planning large-scale, complex events. + Demonstrated knowledge of the mission, history and vision of Colorado State University and familiarity with the University’s premier programs. + Experience working in a fast-paced environment with competing priorities, and the ability to adapt to mitigate issues quickly. + Research, program evaluation, and reporting skills. + Detail oriented. + Demonstrated exemplary written, communication and interpersonal skills. + Diplomatic communication skills with the ability to work with varied audiences. + Skilled in customer service, handling complaints and managing conflicts. + Proficiency in Microsoft Suite, Adobe, and experience working databases. Essential Duties Job Duty CategoryEvent Coordination Duty/Responsibility + Coordinate University and Community Engagement departmental projects; planning, executing, and evaluating logistics at the direction of leadership. + Manage event unit logistics including, but not limited to, schedule, transportation, food and beverage, speakers, A/V technology, venues/locations, décor, and logistics; and assembling of collateral materials/assets/resources to ensure a seamless and positive experience for event participants. + Assist in the development and management of event timelines, budgets, and reports. + Maintain regular communication with unit leadership, collaborating with campus and community partners, to leverage new and existing university audiences and activities. + Work with the MarComm communications, marketing, and digital and social media teams, and other campus and community partners to create and manage communications plans which promote events to key markets and constituencies. + Create, design, and write event plans, instructions, safety/risk management plans, website updates, ticketing, invitations, and content for social and digital media channels. + Oversees staff, student, and volunteers on event-specific tasks. + Manage and administer project details, program, tasks/components, budget, and collateral materials in an effective, efficient and transparent manner; within budget and completing necessary paperwork and data entry. + Assist in gathering, tracking, and analyzing project statistics, demographics, and feedback to create reports and inform strategic decision making. + Ensure event compliance and safety, working with campus officials to develop safety plans, implementing creative solutions to address environmental concerns. + Facilitate effective communication among event unit stakeholders such as University administration, academic colleges and departments, and event participants. + Cultivate and manage relationships with campus and community partners, internal and external vendors, and stakeholders. + Act as liaison to vendors, attendees, and others related to the event. + Serve as a visible and active representative of CSU and MarComm with internal and external partners. + Other duties as assigned. Percentage Of Time60 Job Duty CategoryOperations and Unit Responsibilities Duty/Responsibility + Responsible for a variety of daily challenges where decisions are crucial, including negotiating between competing priorities and creating alignment between expectations and available resources, to improve outcomes. + Actively participate as a staff member in MarComm, attend meetings and trainings, support division-wide priorities and initiatives, and serve on University committees and one-time projects as assigned. + Work with student production assistants on task delegation and professional development. + Manage and coordinate the CSU Events calendar submissions, shared project inboxes, social media entries, merchandizing collateral, storage room, and MarComm communal marketing assets. + Fully understand and apply appropriate policies, regulations, and procedures as required by University, state, and federal law. + Maintain strong knowledge of Colorado State University programs, research, priorities, events and brand messaging to provide informed leadership of event unit. + Proactively stay informed on event best and next practices, independently discovering, learning about, and incorporating new technology as it evolves. + Assist with University & Community Engagement’s institutional initiatives which require the full team’s participation to ensure success. + Work as part of a fast-paced team, with flexibility to work mornings, nights, and weekends as required. + Lifting and physical demands are routine and imperative for event success. There will be physical demands that require lifting, placing, decorating, organizing, set-up, tear-down, transporting of event items.
