Event Coordinator

We are looking for an Event Coordinator to join our Academia and Government Field Marketing team. 

In this role you will support in the coordination all trade show and event activities, including overseeing sponsorship agreements, supporting internal stakeholders to manage payment and logistics, and coordinating with your Field Marketing colleagues on the execution of and attendance at key events across Europe. You will play a key role providing effective internal event support to the team, handling logistics and day-to-day event planning, helping the marketing team become more effective, streamlined and easier to do business with, in order to build, manage and protect our global reputation and brand.

About You – experience, education, skills, and accomplishments  

Bachelor's degree in a related field or equivalent combination of education and experience. 

At least 2 years of experience in administration, human resources, marketing, event planning, logistics or project management. 

 

It would be great if you also had . . .  

Proficiency in Microsoft Office suite of products including Outlook, Word, Excel, PowerPoint, and related software relevant to the role 

 

What will you be doing in this role? 

Assist in planning and coordinating logistics and promotional materials for events.  

Maintain event timelines, tracking deadlines, and communicating status updates to team members and stakeholders.  

Liaise with vendors and suppliers, ensuring contracts are executed and services delivered as agreed.  

Provide on-site support during events, ensuring smooth operations and addressing any issues that arise.  

Assist in preparing materials for events, including name tags, signage, and promotional materials.  

Maintain accurate event documentation, including budgets, schedules, and vendor contracts for record-keeping.  

Communicate effectively with internal teams and external stakeholders to ensure event objectives are met.  

 

About the Team   

The team consists of 5 colleagues in EMEA and will report to the Director, Field Marketing. 

Working in an international team of event managers and field marketing managers.  

 

Hours of Work  

This is a full-time permanent position based in Barcelona, Spain and will require hybrid working in our Barcelona office (2 days per week in office, rest of week remote). 

This position requires weekday (Monday - Friday) attendance with some scheduling flexibility available around core working hours. Some weekend attendance is required, typically for travel and industry/trade events. 

The teams you will work with are primarily located in EMEA and US.
