Estate Administrator
Description Job Summary: We are seeking a detail-oriented and highly organized Estate Administrator to join our client's law firm’s Estates & Trusts practice. The Estate Administrator will play a critical role in supporting attorneys by managing the administration of probate estates and trusts. This position requires strong organizational, communication, and client service skills, as well as a working knowledge of estate and trust administration procedures. Key Responsibilities: + Coordinate and manage all phases of estate and trust administration from initial intake to final distribution. + Prepare and file probate documents, petitions, and court filings in accordance with state laws. + Gather and inventory estate assets, obtain appraisals, and assist in valuation processes. + Draft correspondence to beneficiaries, financial institutions, and government agencies. + Assist with preparation and filing of required tax documents, including estate, inheritance, and fiduciary income tax returns (in coordination with attorneys and CPAs). + Monitor deadlines and ensure compliance with all probate court timelines and statutory requirements. + Maintain detailed estate and trust files, calendars, and accounting records. + Facilitate the transfer or liquidation of assets, including real estate, securities, and personal property. + Communicate regularly with clients, beneficiaries, financial advisors, and courts. + Support attorneys in preparing for client meetings and court appearances as needed. Requirements Required: + Minimum of 2–4 years of experience in estate and/or trust administration, preferably in a legal setting. + Working knowledge of probate processes and relevant state laws. + Proficiency with Microsoft Office Suite and case management or probate software. + Excellent attention to detail, organizational, and time management skills. + Strong written and verbal communication skills. + Ability to handle confidential matters with discretion.
