POSITION OVERVIEW:
ISS STOXX seeks a trustworthy, organized, service-oriented Office Manager to join us in our Prague Office.
In this role, you will support the EMEA Corporate Services team in facilities-related and administrative duties, providing office coverage, and ensuring the office space is in good order. You will partner with other EMEA Corporate Services team members in setting and upholding office standards and firmwide projects and office coverage throughout the region.
MAIN RESPONSIBILITIES:
Provides facilities related and administrative support for our EMEA offices prioritizing our German offices, currently Munich, Eschborn, and Haar locations.
Partner with other members of the EMEA Corporate Services team on special projects and firm-wide administrative oversight.
Manage office and pantry supplies inventory, ordering and tracking.
Coordinate with vendors including cost negotiation, contract implementation, invoice reconciliation and payment process.
Manage postal and courier services requests.
Collaborate with Office Heads and the German Works Councils.
Provide help with regional Facilities Management projects such as refurbishments, construction work and office moves.
Monitor and address issues submit through ISS STOXX internal service request ticketing system, Service Now.
Being the primary contact for physical office security and working with a global team on standard procedures relating to security and contingency planning.
Managing Health & Safety and Fire Safety procedures ensuring we are compliant with legislation and arranging training.
QUALIFICATIONS:
2-3 years relevant work experience in a multi-national organization.
Fluent communication skills both verbally and written in Czech, English, and German.
Proficiency in Microsoft Office suite, including Outlook, Word, PowerPoint, Excel and Teams.
Excellent organizational skills and takes a methodical and thorough approach.
Adoptable, proactive mindset is essential for this role.
Able to work independently and is a team player with excellent interpersonal skills.
Ability to prioritize multiple tasks effectively in a fast-paced environment.
Friendly, professional approach.
