EMEA HR Operations Specialist

Role Overview

The HR Operations Service Centre function is critical to the operation of HR and integral to the effective support of employee lifecycle processes. Working closely with the regional HR teams to ensure core HR processes are executed efficiently and accurately, and that employee questions are handled correctly. The EMEA HR Operations Specialist will report into the Head of Human Resources for Continental Europe, with a dotted line to the EMEA HR Operations Manager for operational role responsibilities.

Role Responsibilities

Support the new hire and onboarding process in Continental Europe, generating offer letters, contracts of employment and initiating background checks as required. Liaison with the screening provider and tracking that the required checks have been completed prior to start dates, escalating areas of concern to the HR Advisory Team.

Create new starter records on the HRIS system (Workday) ensuring the relevant teams are notified in advance of them starting and uploading employee documentation onto their record.

Support the global mobility process, preparing secondment and transfer letters.

Prepare and issue variation letters relating to contractual changes (e.g. job changes, extended terms, salary increases/decreases, flexible working etc.) and process on the HRIS system (Workday). Notifying the relevant teams of any changes.

Support family friendly requests; obtaining required paperwork, preparing and issuing letters relating to their leave and liaise with the HR Advisory Team and Payroll.

Support the leaver process including preparing leaver letters and settlement agreements, calculation of outstanding holiday entitlements, terminating on the HRIS system (Workday) to notify relevant teams and processing any termination payments.

Assist with absence management process including ensuring medical certificates are provided and on file, escalating to HR Advisory Team and Payroll as appropriate. Working with the HR Advisory Team & Benefits Team on any phased return to work employees.

Manage the Continental Europe probation period process including notifying the line manager of probation end dates, seeking feedback and generating paperwork as required; escalating issues to the HR Advisory Team as appropriate.

Respond to all Continental Europe reference requests for information relating to the employment of existing and previous employees including mortgage/rental references, employment references and Employment Certificates.

Transact high volumes of inputs and changes to the HRIS system (Workday) on a daily basis.

Support the monthly payroll process to ensure relevant instructions are passed to Payroll and payments are included before the monthly deadline.

Support the Head of Human Resources for Continental Europe on managing and resolving employee relations. Conduct effective and objective investigations and escalate to Legal as necessary.

Support the Head of Human Resources for Continental Europe on providing  clear advice on all aspects of employment law issues and dealing with involuntary terminations.

Experience / Competences

Essential

Ability to multi task and prioritise/handle competing priorities

Process management and process improvement oriented

Flexible with the ability to work in an ever-changing work environment

Ability to work effectively within a team as well as independently

Service oriented, providing excellent and efficient  interpersonal and written communication skills

Show a desire and aptitude to learn and develop

Skilled in Microsoft application software (Word, Excel, Outlook, PowerPoint etc.)

Previous experience of working within a busy and fast paced HR environment, ideally in a HR Operations/Service Centre role

Experience of preparing employee documentation

Experience with employee lifecycle (onboarding, transfers, absences and offboarding)

Interested in a career within Human Resources

Fluency in English and French

Desired

Experienced Workday knowledge (preferable, but not essential)
