What this job involves:
As the Executive Assistant & Delivery Operation Coordinator at JLL, you'll be at the heart of our operations, providing crucial support to our Country Leader and team while coordinating between our Milan and Rome offices. This dynamic role requires exceptional organizational abilities, communication skills, and a talent for multitasking in a fast-paced environment. You'll be empowered to shape the success of our business operations while embodying our belief that real estate is a human business. What your day-to-day will look like:
Manage comprehensive calendar scheduling, travel arrangements, and administrative support for the Country Leader and leadership teamConduct due diligence processes for clients and suppliers, creating and reviewing new contacts in internal software systemsServe as the vital link between our Milan and Rome offices, ensuring seamless communication and coordinationProcess and manage official company communications, including PEC (certified email) distribution to relevant stakeholdersCoordinate with Marketing to organize internal and external events, including venue selection, vendor management, and client communicationsSupport Country Leader interviews and presentations by arranging preparation meetings and ensuring timely delivery of supporting materialsAssist with statutory obligations including Board meeting preparations, shareholder communications, and legal documentationReview contracts, manage Health & Safety responsibilities, and perform data entryProvide support to the Workplace teamRequired Qualifications:
Fluent in English and Italian (written and spoken)Exceptional organizational skills with proven ability to manage multiple priorities simultaneously3-5+ years of experience in an administrative or executive assistant roleStrong attention to detail with ability to review and process documents accuratelyExcellent communication skills and professional demeanorProficiency with Microsoft Office suite and aptitude for learning new software systemsTeam-oriented mindset with ability to work independently when requiredPreferred Qualifications:
