Donor Services Supervisor

Position Summary:


The Donor Services Supervisor is responsible for managing, monitoring, reviewing, and auditing all aspects of unprocessed tissue from procurement through release to processing or final disposition. This role also facilitates and evaluates incoming donor records for accuracy and completeness, providing outcome reports and recommendations to the Donor Services Manager and/or Medical Director regarding the disposition of each case. The Supervisor plans and oversees Donor Screening and Medical Records functions, ensuring timely and accurate execution, including the release of tissue, in accordance with all applicable standards and procedures. This role also oversees change control, validation, and process development activities, ensuring alignment with established timelines. Maintains effective collaboration with internal departments and Contract Recovery Agencies (CRAs) to support mutual goals and professional respect.


Essential Functions:


•    Assists in the selection, training, orientation, supervision, evaluation, and counseling of department employees
•    Manages and maintains the flow of incoming donor tissue and specimens, including cold storage organization and temperature-controlled temporary storage
•    Creates, maintains, and files donor records. Ensures the Record Room is maintained with controlled access
•    Ensures all applicable aspects of donor records are entered into the database accurately and completely
•    Performs a Quality Assurance review of donor records for accuracy and compliance with established BBA standards and procedures. Forwards to the Donor Services Manager and/or Medical Director(s) with recommendations regarding donor tissue disposition
•    Ships donor tissue to processors or offsite storage as required
•    Assists with reconciling and approving invoices for donor reimbursement, consultants, service vendors, and supply functions. Submits approved invoices to Finance for payment
•    Orders supplies for CRAs as required
•    Creates tracking and trending reports as needed or requested
•    Manages, monitors, and routinely audits Donor Receiving Logs, Culture/Serology samples, Discard Logs, Autograft Storage Logs, and Offsite Storage Logs
•    Manages and reports the monthly raw inventory of unprocessed tissue
•    Manages and maintains the on-call personnel schedule
•    Assists with the development, review, revision, and dissemination of policies, procedures, guidelines, standards, and protocols
•    Initiates documentation, follow-up, and implementation of Corrective and Preventive Actions (CAPAs) for recovery-related deviations from SOPs (SCARs)
•    Holds on-call responsibilities for donor screening and receipt of incoming tissue/specimens after hours, on holidays, and weekends
•    Serves as a backup for daily temperature log verifications, weekly temperature chart changes, and monthly alarm test checks for all inventory freezers during assigned personnel absences
•    Represents BBA/THB at AATB and other professional meetings as required
•    Participates in agency audits and inspections as required
•    Completes other duties as assigned
•    Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies
•    Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role

Qualifications:


•    High school diploma or equivalent
•    Associate's degree in medical discipline or its equivalent with 3+ years of experience in a tissue bank or a related area. Prefer EMS, LPN, LVN, or medical unit clerk preferred
•    CTBS Certification required and must be maintained
•    Requires extensive knowledge of medical terminology, guidelines, and regulations; ability to read and understand the content of medical records and the significance of disease processes and patient physiology
•    Must identify areas of documentation needing clarification, improve process flow, and document trends for recovery agencies and ancillary services to ensure proper revision of problematic processes and forms for Quality Control
•    Basic computer knowledge and proficiency with Microsoft Office Word and Excel
•    Demonstrated organizational skills with the ability to multitask and attention to detail
•    Must be a team player with the ability to excell in a challenging and fast-paced environment
•    Must have a valid driver’s license and dependable transportation
