Donor Relations Assistant
Overview DEPARTMENT:DevelopmentREPORTS TO:Donor Relations DirectorSUPERVISES:NoneSTATUS:Non-ExemptSCHEDULE:Full timeFUNCTION:The Donor Relations Assistant will play an integral administrative support role to the Donor Relations Director in managing the major gift portfolio, research, communication and general office procedures. This position requires the utmost confidentiality, accuracy, computer skills, and the ability to multi-task in a fast-paced environment, and a heart to help those in need. Responsibilities DUTIES ASSISTING DONOR RELATIONS DIRECTOR:1. Identify, research, and analyze potential prospects for DRD cultivation.2. Making phone calls and written communication identified by the Donor Relations Director.3. Be in good communication with the mid-level fund-raising program.4. Work daily in Salesforce environment to maintain data integrity for each donor with ongoing and continuous data entry, tracking and reporting of donor gifts/pledges and gift data5. Maintain confidential information and all communication in individual folders for each donor6. Produce up-to-date, critical, confidential, and highly valuable research reports of all donors 7. Assist with proposal drafting and research8. Organize and prioritize large volumes of information and calls9. Develop and coordinate correspondence for major gift solicitation and cultivation10. General donor acknowledgement letters for major gifts received11. Request and obtain statistical factors of programs and services for each donor in their specific Corps or Service Unit area o Develop and coordinate meaningful communication collateral for each donor in their specific Corps or Service Unit area. Prepare, proofread, edit, and assist with reports, proposals, and presentation materials12. Maintain and manage reports and requests for report information13. Work with DRD in tracking major gift stock donations by monitoring the stock accounts daily, communicating with necessary14. brokers and internal staff in notifying stock gifts and the transfer and selling of stock15. Develop revenue and donor spreadsheets16. Confirm and assist in scheduling appointments with donors and prospects17. Maintain and process expense and travel reports for DRD18. Coordinate conference travel arrangements19. Travel and attend conferences, events and fundraisers with Donor Relations Director when required or requested20. Review and cross reference finance reports associated with the major gifts program21. Establish and maintain effective and working relationships with employees, other agencies, and the public 22. Ability to communicate efficiently and effectively at a moment's notice with Donor Relations Director when she/he is in the field23. Work in cooperation with other Development department team members24. Special projects as needed Qualifications MINIMUM QUALIFICATIONS 1. Bachelor's Degree or equivalent combination of experience and education . 2. Must be strongly proficient in MS Word, Excel, and Fundraising Databases, Salesforce a plus 3. Effective organizational skills, attention to detail, and the ability to work unsupervised. Follow written and verbal instructions 4. Must be able to prioritize work assignments, handle multiple projects simultaneously with minimal supervision, and be able to re-prioritize tasks, and meet deadlines 5. Must be able to take the initiative in completing assigned projects and duties as assigned 6. Ability to think strategically and to troubleshoot problems7. Excellent verbal and written communication skills required 8.
