Document Specialist
Description We are looking for a detail-oriented and proactive Document Specialist to manage the end-to-end preparation and coordination of real estate loan documentation. This role requires a strong understanding of real estate finance, document compliance, and legal procedures. The ideal candidate will work closely with internal teams, external counsel, and borrowers to ensure timely and accurate documentation that reflects approved loan terms and regulatory standards. This is a fully remote role, with full time hours Monday-Friday. For more information, please call 818-703-8818. + Gather, review, and verify all supporting loan materials including credit approvals, title reports, contracts, borrowing authority records, and appraisals. + Proactively identify and resolve documentation issues to ensure all loan documents are completed by the required due dates. + Draft and prepare a range of real estate loan documents, including loan agreements, promissory notes, trust deeds, financing statements, and required disclosures. + Collaborate with borrowers, relationship managers, and internal stakeholders to negotiate loan documentation terms in alignment with credit approval. + Ensure all loan documentation is compliant with relevant federal, state, and internal operational guidelines. + Consult with the Legal Department or external counsel when necessary to obtain appropriate language or support for non-standard agreements. + Assess whether standard templates can be used or if custom legal input is required based on transaction complexity. + Analyze and interpret legal entity documents, such as trust agreements, partnership agreements, and corporate authorizations, to ensure they support the transaction and documentation process. Requirements + 2-4+ years of experience in loan documentation or legal administration, preferably within a real estate or construction environment. + Strong knowledge of real estate lending practices, documentation requirements, and loan processing procedures. + Familiarity with legal document types and terminology related to real estate finance and secured transactions. + Experience working with legal counsel and understanding of compliance requirements. + Excellent organizational, analytical, and problem-solving skills. + High attention to detail and the ability to meet deadlines under pressure. + Proficient in Microsoft Office and experience with document management systems.
