The central Document Manager will be responsible for developing and maintaining standardized document management processes across multiple projects within the Project Execution Department, ensuring all documentation is handled efficiently, accurately, and in compliance with Siemens internal standards and contractual requirements. In addition to serving as a central point of contact for document management activities, this role includes direct document control responsibilities for one assigned project and peak-time support for other project document controllers. The Project Document Manager will report directly to the Head of Projects. This position is based in Taipei, with limited travel required to project sites in Taipei, Taoyuan, and Kaohsiung.
Responsibilities: 1. Centralized Document Management: Develop, implement, and maintain standardized document management processes across all projects, including templates, status dashboards, and reporting tools. Serve as the central point of contact for document management queries and coordination. Ensure compliance with Siemens internal standards and contractual documentation requirements. 2. Project Document Controller: Act as Document Manager for a selected project, overseeing planning, control, monitoring, and reporting of all document-related activities. Collaborate with project managers, engineers, and cross-functional teams to coordinate the timely submission, review, approval, and distribution of documents. Perform detailed checks of project-specific document requirements and maintain the document management plan. Monitor document lifecycle including version control, tracking, deadlines, and archiving. Manage translations, prepare both soft and hard copy submissions, and maintain records of incoming and outgoing correspondence. Archive documents and correspondence using SharePoint or other designated storage systems. 3. Support and Training: Provide training and ongoing support to document controllers and project team members on document management systems and best practices. Assist project teams during peak periods by taking on document management tasks to ensure continuity. 4. Process Improvement: Continuously evaluate and improve document management procedures to enhance accuracy and efficiency. Contribute to department-wide improvement and digitalization initiatives. Promote and implement best practices and innovative solutions in document management across projects. Requirements: Strong knowledge of document management systems and tools. Excellent organizational and communication skills. Ability to work independently and as part of a team. Speak fluently and good writing skills in English and Mandarin. Ability to manage multiple projects and priorities simultaneously. Strong MS Office skills, especially Word, Excel, and PowerPoint. Strong sense to be self-organized and meet deadlines with minimal supervision. Strong sense for quality and process implementation; sharp eye for document quality.
